Administrative Assistant (QuickBooks Online)

Schedule:

  • Monday to Friday, 6:00 AM – 2:00 PM EST

Responsibilities

  • Manage and prioritize incoming emails to ensure efficient communication flow
  • Perform accurate data entry for construction project estimates
  • Process and organize business-critical information
  • Support administrative operations during US hours (6am-2pm)
  • Maintain organized digital filing systems
  • Assist with documentation and data analysis tasks
  • Handle time-sensitive information with attention to detail
  • Contribute to improving operational efficiency through systematic organization
  • Schedule daily calendars, appointments, and conference calls with continued follow up as needed
  • Monthly bank and credit card reconciliations in QuickBooks Online

Requirements

  • Proven experience with email management and digital organization tools
  • Familiarity with data entry processes and basic business software
  • Proficiency in QuickBooks Online
  • Strong organizational skills with keen attention to detail
  • Excellent written and verbal communication abilities in English
  • Capability to work independently and manage time effectively
  • Reliable internet connection and quiet work environment
  • Comfortable working US evening hours
  • Professional attitude with strong work ethic
  • Basic understanding of business operations and administrative processes

Task List:

1. Administration & File Management

  • File Management (initiated by owner of AU emails, billing email + remote admin email)
  • New Leads / New Client Setup (initiated by owner of AU emails)
    • Enter new leads in Ressio
    • Create SharePoint file

2. Tracking & Monitoring

  • ATS texting line tracking
  • Plot vacation, holidays, and non-PTO absences in ClockShark

3. Materials Management

  • Materials tracking (JILCO / Non-JILCO)
  • Add specifications

4. Project Management Support

  • ClockShark Reports + QuickBooks Revisions
    • Send weekly ClockShark report to PM (prior week)
    • Collect PM review/validation
    • Complete QuickBooks revisions
    • Follow up until completion
  • Weekly PM Meeting Prep
    • Prepare and gather data for Thursday meetings
