Overview
Join a specialist UK accountancy recruitment firm as a high-level Executive Assistant at a senior/C-suite level, where you will manage critical operational processes with precision and ownership. This is a sophisticated role for a detail-driven professional to support senior stakeholders and ensure the highest standards of data integrity and communication in a fast-paced environment.
Schedule:
- Full-Time - 40h per week - Monday to Friday 8am to 5pm (GMT time zone)
Responsibilities
- Maintain, audit, and cleanse candidate and client records to ensure absolute accuracy of sensitive data and employment history.
- Identify and add new accountancy firms and key contacts to the CRM, updating records to reflect mergers and structural changes.
- Add and manage job records while identifying and sourcing relevant candidates to maintain organized, up-to-date pipelines.
- Coordinate virtual and in-person interviews with precision, managing all tracking and documentation within the CRM.
- Issue well-presented interview confirmations and represent the business through high-standard written communications.
- Communicate confidently and professionally with senior-level stakeholders, including Partners, Directors, and finance professionals.
- Manage complex scheduling and diary coordination, proactively arranging calls and meetings with foresight.
- Ensure all communications and follow-ups are executed without delay, maintaining zero oversight in daily operations.
- Format and distribute candidate profiles via Brevo, targeting specific clients based on geography and suitability.
- Ensure all marketing materials and candidate profiles are presented to an exceptionally high standard of professional quality.
Requirements
- Fluent English with excellent written and verbal communication
- Degree-level education preferred
- 7–10+ years of experience supporting C-suite executives (CEO, Founder, or senior leadership)
- Proven track record as a Senior Executive Assistant or Chief of Staff–type role
- Exceptional attention to detail and accuracy
- Ability to work independently with minimal supervision
- Strong organisational and time management skills
- Confidence communicating with senior professionals
- High levels of professionalism, reliability, and accountability
Technical Skills
- Strong experience using CRM systems
- Advanced proficiency in Microsoft Office, particularly Excel (essential)
- Ability to work efficiently across all Microsoft Office applications
- Experience using LinkedIn and online research tools
- Experience with email marketing platforms such as Brevo (essential)
AI Capability (Required):
- Confident and practical use of AI tools in day-to-day work
- Ability to utilise AI for: Data analysis and interpretation; Drafting and refining professional communication; Improving efficiency and supporting workflow processes
- Must demonstrate applied, real-world use of AI beyond basic content generation
