Business Operations Associate

Job Overview

We're hiring a Business Operations Associate to support our Head of Operations and help keep the company's operational engine running smoothly as we scale. This is a hands-on, execution-focused role — you won't be setting strategy or owning entire functions end-to-end, but you will be the person who keeps systems tidy, processes moving, and the day-to-day running without friction.

You'll work directly under our Head of Operations, executing on initiatives across hiring, people ops, GTM systems, and internal tooling. This is a great fit for someone who likes variety, enjoys building clean processes, and takes pride in being the reliable operator behind the scenes.

Schedule

  • Monday - Friday, 08:00 AM - 05:00 PM EST, with 1 hour unpaid/paid break (40 work hours per week)

Responsibilities

  • GTM & Revenue Ops Support — Maintain the CRM (HubSpot), keep pipeline data clean, update records, and help coordinate handoffs between marketing and sales. Flag issues and suggest improvements to the Head of Operations.

  • Hiring & Recruiting Coordination — Manage our ATS (Ashby), post job descriptions, coordinate interviews, keep candidate pipelines organized, and support the offer and onboarding handoff. Own the candidate experience from first touch through scheduling.

  • People & HR Support — Assist with onboarding/offboarding logistics, benefits enrollment coordination, employment documentation, and day-to-day employee support. Partner with HR leadership on compliance tasks and global employment coordination.

  • Process & Tooling Execution — Help implement and maintain the tools that keep us organized (Notion, Slack, HubSpot, HRIS, etc.). Keep documentation current, templates updated, and internal wikis in good shape.

  • Automation & AI-Assisted Workflows — Build simple automations using AI and no-code/low-code tools (Zapier, Make, AI assistants) to eliminate repetitive manual work. You don't need to be an engineer — just resourceful with modern tools.

  • Design Coordination — Coordinate with in-house or contract designers on decks, collateral, and brand materials. Keep design requests organized and ensure timelines are met.

  • System Hygiene — Manage user permissions, audit tool sprawl, maintain clean shared drives, and keep the digital workspace organized as we grow.

  • Finance & Vendor Support — Assist with expense tracking, vendor coordination, and light bookkeeping tasks in partnership with our external finance team.

Requirements

  • Have 4–6 years of experience in business operations, ops coordination, people ops, chief of staff support, or similar roles — ideally at a startup or high-growth company.

  • Have supported (not necessarily led) the build-out of operational systems and processes, and understand how the pieces fit together.

  • Are comfortable switching between execution-heavy tasks multiple times a day — from coordinating interviews to cleaning CRM data to setting up a new tool.

  • Have hands-on experience coordinating hiring across multiple roles, including ATS administration (Ashby, Greenhouse, Lever, or similar).

  • Understand HR fundamentals: onboarding logistics, benefits coordination, and basic employment compliance.

  • Have a good design eye — enough to brief designers, review work, and keep brand quality consistent.

  • Are deeply organized, detail-oriented, and take pride in clean documentation and well-maintained systems.

  • Are fluent (or quick to learn) in modern SaaS tooling: HubSpot, Notion, Slack, Google Workspace, Ashby, Rippling/Deel/Remote, Zapier, etc.

  • Communicate clearly and professionally with candidates, teammates, and external partners.

  • Are energized by variety and thrive in a fast-moving environment where no two days look the same.

Nice to Haves

  • Experience administering SaaS tools (permissions, SSO, provisioning) in a growing organization.

  • Background in SaaS, travel, or enterprise software.

  • Exposure to international employment coordination or global payroll.

  • Comfort using AI tools to speed up repetitive work.

  • Experience at a Series A or early-stage startup.

  • Exposure to light finance ops, expense management, or bookkeeping coordination.
