Overview
We are seeking a detail-oriented and highly organized Offshore HR Operations Specialist to support our Human Resources team with administrative, data management, and process-driven tasks. This role will focus on ensuring accuracy, compliance, and timely follow-through across HR systems, onboarding, reporting, and documentation workflows.

Monday to Friday 8:30 AM to 5 PM Valencia, California; 1 hour unpaid break
Key Responsibilities
HR Data Management & Systems Support
- Perform data entry for faculty assignments through Personnel Action Forms (PAFs)
- Enter and maintain employee and student hiring data in HRIS systems (e.g., Paycom)
- Support ongoing data cleanup and ensure data integrity across systems
- Manage document retention processes, including organizing and archiving records from DocuSign/SoftDocs
Onboarding & Employee Lifecycle Support
- Initiate and track new hire onboarding processes
- Ensure completion of new hire paperwork, including I-9 verification and required documentation
- Monitor and follow up on training completion and onboarding milestones
- Prepare termination packets and support offboarding processes
- Conduct employment verifications as requested
Contract & Documentation Management
- Upload, track, and manage employee contracts within internal systems
- Monitor signature approvals and send reminders for outstanding items
- Conduct routine follow-ups on missing job descriptions (JDs) and supporting documents
Payroll & Hiring Support
- Assist with payroll review processes (as applicable)
- Review student hiring forms for completeness and accuracy
- Support onboarding and documentation tracking for student employees
Reporting & Compliance
- Run and produce routine HR reports based on predefined templates
- Track, maintain, and distribute monthly reports (e.g., active hourly employees not recording time)
- Collaborate with HR Managers who design automated reports; ensure consistent execution and delivery
Qualifications
- 2+ years of experience in HR operations, administrative support, or data management
- Experience working with HRIS systems (e.g., Paycom or similar platforms) preferred
- Strong attention to detail and accuracy in data entry and documentation
- Excellent organizational and follow-up skills
- Ability to manage multiple tasks and meet deadlines in a remote environment
- Strong written communication skills
Preferred Skills
- Familiarity with onboarding, I-9 compliance, and HR documentation processes
- Experience with document management systems (e.g., DocuSign, SoftDocs)
- Basic understanding of payroll processes
- Proficiency in Excel or reporting tools
