Long-Acting Injectable Coordinator

Statement of Purpose:

The Centralized LAI Coordinator provides administrative and coordination support for the centralized Long-Acting Injectable (LAI) program. This includes coordinating patient scheduling, supporting benefits investigations, verifying medication delivery, and assisting with inventory and data management. The coordinator ensures patients receive timely and effective access to LAI therapies through both pharmacy and buy-and-bill pathways.

Schedule (Eastern Time):

First 90 days:

  • Monday to Thursday: 8:00 AM – 5:30 PM
  • Friday: 8:30 AM – 12:30 PM

After 90 days:

  • Monday to Thursday: 9:00 AM – 6:30 PM
  • Friday: 9:30 AM – 1:30 PM

Essential Functions:

1. Patient Coordination

  • Conduct preliminary review of LAI candidates and coordinate with care teams for next steps.

  • Call patients to schedule or reschedule LAI appointments.

  • Confirm patient attendance and follow up on missed visits.

  • Coordinate referral and insurance needs with the patient.

  • Support adherence tracking and outreach for patients falling out of the window.

  • Prepare and distribute patient education materials regarding LAIs.

  • Serve as the point of contact for patient inquiries (phone, portal, email).

  • Assist in chart review and pre-visit planning to anticipate needs.

  • Track adherence, perform outreach for patients falling out of the dosing window, and escalate non-

  • adherence issues.

  • Coordinate with benefits investigation team, pharmacy, and external providers to address barriers.

2. Pharmacy & Buy-and-Bill Support

  • Call pharmacies to schedule deliveries and verify delivery completion.

  • Upload paperwork and coordinate with Health Information Management (HIM).

  • Support referral coordination and coordination of benefits (COB) communications.

  • Assist with obtaining prior authorizations and follow up with the benefits investigation team or payors.

  • Coordinate with providers on the discontinuation of oral prescriptions once injectables are approved.

3. Data, Documentation & Reporting

  • Enter and reconcile data across EMR, inventory systems, and dashboards.

  • Document insurance coordination and compliance activities.c. Support quality assurance initiatives by flagging workflow issues or gaps.

  • Collaborate with revenue cycle staff on billing, coding, or appeals follow-up.

4. 4. Inventory & Data Support

  • Verify on-hand inventory and communicate shortages to the Manager.

  • Reconcile Cabenuva/Apretude dashboards against active patients.

  • Track and report EMR actions related to LAI workflows.

5. 5. Clinical/Administrative Support

  • Document all interactions in EMR and tracking systems.

  • Support quality reporting and coordination with CAN departments.

  • Communicate with internal and external providers as needed.

6. 6. Quality, Safety, & Compliance

  • Conduct internal audits, quality assurance reviews, and performance monitoring.

  • Participate in risk management processes, including error/adverse event tracking and reporting.

  • Maintain compliance with HIPAA, OSHA, HRSA, 340B, and CAN policies.

  • Support accreditation, audit, or grant reporting activities.

  • Stay updated on new LAI medications, payer policies, and regulatory changes.

Education/Professional Requirements

  • High school diploma or equivalent required; associate degree preferred.

  • Minimum of 3 years’ healthcare experience required.

  • Experience with prior authorizations, benefits investigations, billing/coding, or medical terminology

  • Medical Assistant certification preferred but not required.

  • Experience with specialty medications or HIV/PrEP services preferred.

9. Competencies

  • Strong communication and organizational skills.

  • Ability to manage multiple tasks across locations and Electronic Health Record systems.

  • Familiarity with pharmacy and buy-and-bill protocols.

  • Detail orientation, accuracy, and team collaboration.

10. Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Office Suite.

  • Strong problem-solving and decision-making abilities.

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
