Executive Assistant (Accounting Firm)

Job Overview

Our client is a U.S.-based accounting and fractional CFO practice specializing in financial strategy, reporting, and advisory services. We are seeking a highly organized Executive Assistant to serve as a central point of coordination for the business owner. This role is critical to maintaining professional standards and operational efficiency, requiring a sharp individual who can manage complex inboxes, optimize executive calendars, and maintain structured digital filing systems. 

Schedule

  • Monday - Friday, Flexible hours within 9:00 AM – 5:00 PM Central Time (Minimum 20 hours per week)

Responsibilities

  • Inbox & Communication Management: Organize and prioritize the email inbox; respond to client inquiries with a professional tone; and manage follow-ups to ensure no communication is missed.
  • Scheduling & Coordination: Efficiently coordinate meetings and optimize the executive’s calendar; manage appointment confirmations and proactive follow-ups.
  • File & System Management: Maintain organized digital filing systems across Google Drive and SharePoint; ensure all documents are properly labeled, stored, and accessible.
  • Workflow Optimization: Support the transition to new tools and systems; help streamline daily workflows to improve overall business efficiency.
  • General Administrative Support: Provide day-to-day assistance to the business owner and broader operations, adapting to ad hoc tasks as the firm grows.

Requirements

  • 2–5 years of experience in an administrative or executive assistant role, ideally supporting professional services or financial consulting firms.
  • Software Proficiency: High level of expertise in Google Workspace (Gmail, Drive, Docs, Sheets) and Microsoft SharePoint/Teams.
  • Communication Skills: Strong written communication skills with a focus on professional client interaction.
  • Organizational Mastery: Exceptional attention to detail and the ability to maintain structured systems independently.
  • Independence: Proven ability to work with minimal supervision in a remote, professional services environment.
