Role Overview:
This role provides daily administrative and operational support to a business owner across multiple ventures. Responsibilities include managing email correspondence, scheduling, task management, making outbound calls to US-based and international contacts, handling back-office tasks (data entry, document preparation, research), and coordinating between internal team members and external partners to keep projects on track.
Client Overview:
A holding company operating across fintech and retail focuses primarily on recruiting beauty and lifestyle brands under exclusive or direct distribution rights, bringing them to underserved markets through B2B and direct-to-consumer channels. A flagship venture is being structured as a destination for markets where major beauty retailers do not yet have a presence. The business model involves onboarding brands in clusters of approximately five brands per manager, with plans to scale to around 100 brands by adding 10–20 new brands every two months. Each brand cluster will have dedicated landing pages and Shopify-based storefronts, with operations spanning sourcing from Korea, the UK, and the USA, and distribution into Latin American markets, including future expansion into physical retail. The leader is highly hands-on with deal-making and brand acquisition but struggles to delegate operational execution.
Schedule:
- Mondays to Fridays, flexible schedule during client’s business hours (between 8:00 am and 5:00 pm) (Central European Time, 20 hours per week)
Scope:
- Start at 20 hours per week (fractional) with potential to scale based on business needs
- Support the founder directly with administrative tasks across retail and fintech ventures
- Handle phone communications using a US or international telephony system
- Serve as a reliable point of contact for routine operational coordination

Requirements:
- Prior experience as a virtual assistant or in a similar administrative support role
- Strong verbal and written English communication skills
- Highly organized with the ability to manage competing priorities and deadlines
- Task-driven with a proactive approach to completing assignments
- Reliable and responsive with a strong sense of accountability
