Job Overview
Our client is looking for a versatile Financial Administrative Assistant (QuickBooks) to manage multi-client bookkeeping tasks while also providing ongoing administrative and email support. This role is ideal for someone who is highly organized, detail-oriented, and comfortable working across multiple accounts in a fast-paced remote environment. You will play a key role in maintaining accurate financial records, supporting payroll processes, and ensuring smooth communication and task coordination across clients.

Monday - Friday, flexible during Vancouver, Canada business hours (20 work hours per week)
Responsibilities
- Manage and maintain bookkeeping records for multiple clients using QuickBooks, ensuring all accounts are accurate, updated, and properly categorized
- Process recurring payroll for clients, ensuring timely, compliant, and error-free submissions
- Assist in catching up on backlogged bookkeeping tasks as an immediate priority
- Monitor and manage shared email inboxes, responding to messages or escalating when necessary
- Send reminders and follow-ups to clients to ensure deadlines, payments, and deliverables stay on track
- Provide general administrative and personal business support as required by clients
- Organize, update, and maintain digital filing systems and financial documentation across multiple accounts
- Collaborate directly with the business owner to prioritize tasks, manage workloads, and meet deadlines across client portfolios
- Support ongoing operational efficiency by improving organization and workflow consistency
Requirements
- Proficiency in QuickBooks (Online preferred), including bookkeeping, categorization, and reporting tasks
- Prior experience in bookkeeping or accounting support, ideally handling multiple client accounts
- Experience in processing payroll is highly preferred
- Professional written communication skills for email management and client correspondence.
- Close attention to detail with strong accuracy in financial data management
- Excellent time management and ability to work independently across competing priorities
