Commercial Insurance Administrator (Commercial Certificates & Quoting Support)

Overview

We are looking for an experienced Commercial Insurance Administrator (Commercial Certificates & Quoting Support) to support all back-office processes related to Certificates of Insurance, quoting, renewals, policy servicing, documentation, and financial coordination. This role requires strong attention to detail, hands-on experience in commercial insurance operations, and familiarity with agency management systems and carrier workflows.


Schedule:

  • Full-time (40 hours a week) Monday-Friday 9 AM - 6 PM PST (includes 1 hr unpaid break)

Responsibilities

  • Handle Certificates of Insurance (COI) requests with accuracy and timely issuance.
  • Support quoting, renewals, and proposal preparation specifically for Commercial Lines.
  • Process commercial endorsements, cancellations, rewrites, audits, and other policy servicing tasks.
  • Maintain organized and accurate commercial client records within the agency management system.
  • Follow up on outstanding documents, renewals, audits, and commercial client communications.
  • Assist with reconciliation of commercial insurance financials, invoices, and commission statements.
  • Coordinate directly with the agency principal for updates, reporting, and performance alignment.
  • Participate in team meetings via Zoom or similar platforms.

Requirements

  • 2–3+ years of experience in Commercial Insurance administration or support (Commercial Lines experience is required; Personal Lines alone will not be considered).
  • Experience using agency management systems such as AMS360, Applied Epic, HawkSoft, or similar.
  • Strong understanding of commercial carriers, market appetite, and certificate processing workflows.
  • Excellent English communication skills (written and verbal).
  • Ability to work U.S. business hours and maintain consistent responsiveness.
  • Access to Zoom or similar platforms for regular check-ins and meetings.
  • Comfortable working under a long-term engagement (minimum 3-month probation).
