Role Overview:
The Patient Access Coordinator is responsible for managing client intake, inquiries, and scheduling to ensure a seamless and professional first experience for all potential clients. This role includes evening and weekend coverage aligned with U.S. time zones, with a focus on responsiveness, organization, and consistent communication.
Schedule:
- Person A (Total: 25.5 hours)
- Mondays - 8:30 am to 4:30 pm
- Tuesdays - 8:30 am to 4:30 pm (flexible)
- Wednesdays and Thursdays - off
- Fridays - 1:00 to 6:30 pm
- Saturdays - 1:00 to 5:00 pm
- Sundays - off
- Person B (Total: 28 hours)
- Mondays - off
- Tuesdays - 8:30 am to 4:30 pm
- Wednesdays and Thursdays - 8:30 am to 4:30 pm (flexible)
- Fridays and Saturdays - off
- Sundays - 1:00 to 5:00 pm
- US Pacific Time
Key Outcomes:
- All incoming client inquiries are responded to promptly and professionally
- New client intakes are scheduled accurately and efficiently
- Clients are appropriately matched to providers based on need and availability
- No missed inquiries or delayed responses during assigned coverage hours
- Intake workflow remains organized, consistent, and up to date
- Client communication is professional, warm, and supportive
Core Responsibilities:
- Client Intake & Scheduling
- Answer incoming calls, emails, and online inquiries
- Conduct initial intake scheduling and appointment coordination
- Match clients to appropriate providers based on clinical needs and availability
- Maintain accurate scheduling records
- Evening & Weekend Coverage (U.S. Time Zone Required)
- Provide evening coverage aligned with U.S. business hours
- Provide weekend coverage of 3–4 hours on Saturday and 3–4 hours on Sunday
- Respond to messages and inquiries during assigned coverage periods
- Ensure timely follow-up so no client communication is missed or delayed
- Prescriber Coordination
- Assist with scheduling and coordination for prescribers
- Support intake flow for medication management services
- May expand into additional responsibilities based on performance and capability, such as prior authorizations, intake management, etc.
- Team Collaboration
- Participate in CCC team meetings as required
- Communicate clearly with clinical and administrative teams
- Support continuous improvement of intake workflows and client experience

Preferred Experience:
- Prior experience in client intake, scheduling, or call-based support roles
- Experience in healthcare or behavioral health settings preferred
- Familiarity with scheduling systems or electronic medical records (EMRs)
