Operations Administrative Assistant | Xero

Job Overview

Our client is looking for a highly organized and dependable Operations Administrative Assistant to support their Operations Manager with administrative and data management tasks. This role is ideal for someone who enjoys structured processes, has strong attention to detail, and is comfortable working across platforms such as Monday.com, Xero, WhatsApp, and cloud-based filing systems.

Schedule

  • Monday - Friday, 9:00 AM - 1:00 PM AEST (20 work hours per week)

Responsibilities

  • Perform accurate data entry by transferring information from email templates into the Monday.com project management platform
  • Save and organize photos and documents from WhatsApp into the appropriate Monday.com boards
  • Enter and manage invoice data within Xero to support company financial record-keeping
  • Set up new projects on Monday.com using provided templates and ensure all project details are correctly captured
  • Maintain organized digital filing systems for invoices, project documents, and other business records
  • Support the Operations Manager by handling routine administrative tasks and maintaining workflow efficiency
  • Ensure consistency, accuracy, and completeness across all administrative records and project setups
  • Collaborate directly with the Operations Manager for onboarding, training, and task coordination
  • Execute internal-facing administrative tasks with no client-facing communication required

Requirements

  • Minimum of 2 years of experience in an administrative, virtual assistant, or data entry role
  • Professional written and spoken English communication skills with excellent reading comprehension
  • Close attention to detail and commitment to producing accurate, error-free work
  • Ability to work independently with minimal supervision
  • Strong organizational and time management skills
  • Comfortable learning new systems and processes through video-based training materials
  • Experience using Monday.com, Xero, or similar project management and accounting platforms is highly preferred
