Your Role: Bookkeeper / Payroll Specialist
Job Overview
We are seeking a detail-oriented Bookkeeper & Payroll Specialist to manage end-to-end payroll and maintain accurate financial records in Xero. This role focuses on reconciliations, accounts payable/receivable, and ensuring compliance with New Zealand payroll regulations. The ideal candidate is highly organized, proactive in resolving discrepancies, and comfortable working independently. You will also support tax preparation and help optimize bookkeeping and payroll processes in a part-time capacity.
Schedule: Part Time (20 hours per week) Monday - Friday. 4 hours per day
Responsibilities:
- Manage end-to-end payroll processing to ensure staff are paid accurately and on time each cycle
- Reconcile all bank feeds, transactions, and invoices within Xero to maintain a clean and up-to-date financial dashboard
- Handle accounts payable and accounts receivable, ensuring all entries are correctly recorded and matched
- Prepare and maintain accurate financial records to support the external accountant with tax preparation and reporting
- Identify and resolve discrepancies in existing bookkeeping records, including unmatched bank feed entries and outstanding reconciliation items
- Monitor and maintain compliance with New Zealand payroll obligations including PAYE and KiwiSaver contributions
Requirements:
- Proven experience in bookkeeping and payroll processing for small to medium-sized businesses
- Proficiency in Xero, including payroll, bank reconciliation, and reporting modules
- Familiarity with New Zealand payroll requirements and IRD obligations
- High level of attention to detail and commitment to accuracy in financial record-keeping
- Strong organisational and time management skills to work effectively in a part-time capacity
- Ability to work independently with minimal supervision
Scope:
- Part-time role at approximately 20 hours per week (4 hours per day, Monday to Friday)
- Clean up and bring current a backlog of unreconciled transactions and mismatched entries in Xero
- Ongoing weekly and fortnightly payroll processing and reconciliation
- Provide bookkeeping support that enables the external accountant to focus on higher-level accounting and tax advisory
- Evaluate and recommend improvements to current payroll and bookkeeping workflows
- Assist with tax preparation tasks as needed to support end-of-period reporting
