Client Support & Operations Coordinator (CRM & Travel Support)

Overview

We’re looking for a proactive and highly organized Client Support & Operations Coordinator to take ownership of client communication and ensure a seamless experience across our travel and administrative workflows. This role is ideal for someone who thrives in a fast-paced environment, enjoys working directly with clients, and can confidently manage follow-ups, coordination, and day-to-day operations with minimal supervision.

Responsibilities

  • Manage client communication via email, phone, and messaging to ensure timely completion of travel details, documents, and payments
  • Proactively follow up with clients and keep workflows moving without needing constant direction
  • Support Sacred Travel coordination and ensure a smooth client journey end-to-end
  • Assist with CRM management (Keap / HubSpot), including updating records and tracking interactions
  • Create and send email campaigns and support basic marketing initiatives
  • Post on social media and create simple graphics using Canva
  • Upload and maintain content in client/member portals
  • Perform light video edits (basic trimming or formatting)
  • Support general admin tasks and help streamline internal processes

Requirements

  • Strong English communication skills (written and verbal)
  • Confident in client-facing interactions (email, phone, Zoom)
  • Highly organized, self-directed, and proactive
  • Comfortable using CRMs (HubSpot or Keap preferred)
  • Experience with basic marketing tools (email campaigns, Canva, social media)
  • General understanding of tools like Zapier or Make is a plus (not required)
