Responsibilities
Drafting Owners Corporation Certificates
- Prepare and issue Owners Corporation Certificates as requested by lawyers or conveyancers for property sale documentation.
- Ensure all information on certificates is accurate and compliant with relevant property laws and regulations.
Updating Ownership Records
- Process notices of acquisition to promptly update the database with new owner details.
- Ensure all ownership and contact records are accurate and up to date.
Issuing Welcome Packs
- Create and distribute comprehensive welcome packs for new owners, including essential information about the Owners Corporation and community facilities.
- Customize welcome packs to address specific owner needs or queries, ensuring a smooth onboarding experience.
Communication
- Act as the primary contact for lawyers, conveyancers, and owners regarding Owners Corporation matters related to property transactions.
- Maintain professional and proactive communication, ensuring timely updates and efficient issue resolution.
Financial and Accounting Duties
- Read and interpret financial ledgers and reports related to owner accounts.
- Provide basic financial analysis and explanations to owners or board members for better understanding of financial statements.
- Ensure all financial records comply with relevant policies and procedures.
Administrative Expertise
- Manage multiple administrative tasks efficiently with accuracy and attention to detail.
- Develop and maintain organized filing systems and databases for streamlined reporting and record-keeping.
Requirements
- Strong administrative skills with exceptional attention to detail.
- Experience in property sale transactions and related administrative processes (preferred).
- Solid understanding of accounting principles and financial reporting.
- Ability to interpret and clearly explain financial documents.
- Proficient in standard office software and property management systems.
Preferred Experience
- Previous experience in property management, particularly in handling Owners Corporation transactions.
- Background in accounting or finance with hands-on experience in financial reporting and analysis.
