Overview

We are seeking a highly detail-oriented Mid-Level Virtual Assistant to provide comprehensive administrative and documentation support. This role is critical in maintaining the accuracy, quality, and organization of sensitive company documents and internal policies. The ideal candidate is proactive, reliable, and capable of operating independently in a fast-paced, remote environment.

Schedule:

  • Full-Time | Flexible during client business hours (Must be able to support Canadian business hours)

Responsibilities

  • Proofread, edit, and format sensitive company documents with a high degree of accuracy
  • Review, update, and maintain internal organizational policies and procedures
  • Provide day-to-day administrative support across multiple business functions
  • Manage calendars, scheduling, and internal/external communication workflows
  • Organize, maintain, and update company records and documentation systems
  • Execute recurring administrative tasks with precision and consistency
  • Ensure document version control and adherence to company standards
  • Collaborate with leadership and team members to streamline administrative processes

Requirements

  • Proven experience in an administrative support or virtual assistant role
  • Exceptional attention to detail, particularly in document review and proofreading
  • Strong command of written English, including grammar, punctuation, and formatting
  • Ability to quickly learn new tools, systems, and internal processes
  • Proactive mindset with strong problem-solving capabilities
  • Ability to work independently with minimal supervision
  • High level of discretion when handling confidential or sensitive information
  • Reliable high-speed internet connection and a professional remote workspace

Preferred Attributes

  • Experience working with policy documentation or compliance-related materials
  • Familiarity with cloud-based document management systems (e.g., Google Workspace, Microsoft 365)
  • Strong organizational and time management skills
  • Adaptability in a dynamic, evolving work environment

Scope of Work

  • Flexible engagement: Full-time or part-time based on business needs
  • Primary support aligned with Canadian timezone operations
  • Ongoing responsibility for document quality control and policy management
  • Integration with internal communication and collaboration tools (e.g., Slack, Teams, or similar)
  • Direct reporting line to company leadership
