Job Overview
As an Admin Assistant & Business Support Coordinator, you will provide high-level administrative and operational support to a business owner, ensuring day-to-day activities run efficiently. This role requires a highly organized, proactive, and resourceful individual who can manage calendars, coordinate communications, conduct research, and support business development efforts. You will play a key role in keeping priorities on track, following up on opportunities, and handling both administrative and client-facing tasks with minimal supervision.
Schedule: 7 AM to 3 PM Eastern Time, Monday to Friday, 35 hours per week
Responsibilities:
- Manage and maintain a well-organized calendar, ensuring all deadlines and appointments are tracked and met
- Conduct research tasks such as comparing service providers, gathering pricing information, and presenting options for decision-making
- Follow up on submitted proposals and support the marketing team's outreach and email follow-up efforts
- Perform data mining and organize information to support business development activities
- Set up and coordinate virtual meetings, manage email correspondence, and handle general administrative communication
- Handle incoming phone calls and serve as a point of contact when calls are routed to the assistant
Requirements:
- Prior experience in an administrative or executive assistant role, preferably supporting a small business owner
- Strong organizational skills with the ability to manage multiple priorities across business and personal tasks
- Tech-savvy with proficiency in email platforms, calendar tools, and virtual meeting software
- Excellent written and verbal English communication skills
- High level of attention to detail and ability to work independently with minimal supervision
- Proactive and resourceful problem-solver who can anticipate needs before being asked
