We are looking for a brilliant operational architect to join our remote team and build the machine that powers our growth.

The Opportunity

We are seeking an Operations & Systems Manager to serve as our principal builder of operational infrastructure. This is a senior, self-directed role for someone who sits at the intersection of Business Process Architecture, Legal-Tech Engineering, and Applied AI.

Your mission is to design a firm that scales without proportional headcount growth. You will own the process architecture, optimize our core practice management systems, and engineer the automation that keeps our fee-earners focused on high-value law.

Key Areas of Impact

• Process Architecture: Design and maintain the firm’s complete "Enterprise Process Map." You will translate complex legal workflows into clear, streamlined systems and Standard Operating Procedures (SOPs).
• Systems Management: Lead the configuration and continuous improvement of our core legal-tech stack (Practice Management and Document Management systems). You will ensure our data is clean, our dashboards are accurate, and our tools are fully integrated.
• Automation & AI Engineering: Serve as our lead "Automation Engineer." You will design and implement agentic AI workflows and low-code automations (via platforms like Zapier, Make, or Power Automate) to eliminate repeatable manual tasks.
• Operational Intelligence: Own the firm’s performance data. You will build the reporting dashboards that give leadership real-time visibility into utilization, billing, and matter health.

The Ideal Profile

• Systems Thinker: 5+ years in Operations or Systems Management, ideally within a professional services or legal environment.
• Platform Agnostic: You are a "Power User" of Tier 1 Legal Practice Management Systems (e.g., ActionStep, Clio, LEAP, iManage). While we have a specific stack, we value your ability to configure any complex environment to meet business needs.
• The Builder: You don't just "manage" vendors; you build workflows yourself. You are comfortable with APIs, webhooks, and modern AI orchestration.
• Strategic & Precise: You have a background in Lean, Six Sigma, or a similar process improvement framework. You understand that in high-stakes law, precision is the foundation of credibility.

Role Details

• Location: 100% Remote (Offshore).
• Hours: Full-time, with a 4-hour daily overlap with Sydney business hours (AEST/AEDT).
