Job Overview

Part-time Bookkeeper & Executive Assistant responsible for building and managing the company’s financial infrastructure, including bookkeeping, expense tracking, and reporting. This role also supports daily operations by handling payroll, calendar management, and client communications. Ideal for a detail-oriented professional who can work independently in a fast-paced environment. You’ll serve as a key right hand to the business owner, ensuring both financial clarity and operational efficiency.

 Schedule: US EST - 08:00 - 12:00

Responsibilities:

  • Set up and maintain a complete bookkeeping system from scratch, including chart of accounts, expense categorization, and financial reporting
  • Reconcile credit card statements and categorize business expenses to provide clear visibility into cash flow, cost basis, and profit margins per service line
  • Process contractor payroll and ensure accurate tracking of hours worked across the team
  • Manage the business owner's calendar, to-do lists, and reminders to ensure nothing falls through the cracks
  • Draft and send follow-up emails to prospects and clients using standardized communication templates on behalf of the business owner
  • Coordinate team communications regarding upcoming events, locations, and scheduling logistics

Requirements:

  • Minimum 3–5 years of experience in bookkeeping and administrative support roles
  • Proficiency in QuickBooks and/or Xero with a diverse bookkeeping software background
  • Strong business acumen with the ability to work independently and take initiative without hand-holding
  • Excellent written and verbal communication skills with a proactive and optimistic disposition
  • High level of attention to detail and organizational skills
  • Comfortable working in a fast-paced, fluid environment supporting a small business owner

Scope:

  • Part-time role at 20 hours per week, working within Eastern Time (8:00 AM–12:00 PM ET preferred for executive assistant duties)
  • Bookkeeping tasks may be completed flexibly outside of core communication hours
  • Initial focus on building the financial infrastructure from the ground up and reconciling the first four months of business expenses
  • Ongoing responsibility to provide financial insights that support informed business decisions
  • Serve as the primary administrative right hand, acting as a liaison between the business owner, team members, and current or prospective clients

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
