Executive Admin & Accounting Assistant (Xero)

Job Overview

Our client is seeking a highly organized, proactive, and detail-oriented Executive Admin & Accounting Assistant to provide comprehensive executive and administrative support in a fast-paced remote environment. This role requires someone with exceptional communication skills, the ability to follow instructions with precision, and strong experience using Xero. The ideal candidate thrives in structured environments, manages multiple priorities effectively, and consistently delivers high-quality work with minimal supervision.

Schedule:

  • Flexible to start 7:00 AM or 8:00 AM Perth, Australia Time (40 hours per week)

Responsibilities

Executive & Personal Assistance

  • Manage calendars, appointments, and scheduling across multiple priorities
  • Coordinate meetings, video calls, and follow-up actions
  • Handle email inbox management, drafting responses, and correspondence
  • Prepare reports, presentations, meeting agendas, and documentation
  • Coordinate travel arrangements, bookings, and itinerary management when required
  • Assist with personal errands, research, and special projects

Administrative Support

  • Maintain organized digital filing systems and records
  • Data entry, document preparation, and database maintenance
  • Prepare and process invoices, purchase orders, and expense reports
  • Support workflow coordination and task tracking
  • Monitor deadlines and ensure timely completion of deliverables

Accounting & Financial Administration

  • Manage bookkeeping tasks using Xero
  • Process invoices, reconciliations, accounts payable/receivable
  • Generate financial reports and maintain accurate records
  • Coordinate with internal stakeholders regarding financial documentation

Communication & Coordination

  • Serve as a key communication point between internal and external stakeholders
  • Follow up on outstanding tasks, projects, and action items
  • Ensure clear, professional, and timely communication at all times

Requirements

  • Minimum 2+ years experience in Personal Assistant, Executive Assistant, Administrative Support, or similar roles
  • Advanced Xero experience — REQUIRED (non-negotiable)
  • Proven experience working remotely with international teams
  • Excellent written and verbal English communication skills
  • Strong organizational and multitasking abilities
  • High attention to detail and accuracy
  • Ability to work independently with minimal supervision
  • Ability to follow instructions precisely and consistently
