Registered Nurse – Endoscopy Scheduling Coordinator

Job Overview:

We are seeking a Registered Nurse – Endoscopy Scheduling Coordinator to support our growing endoscopy practice in Australia.

This role begins with frontline administrative and patient-coordination tasks and progressively develops into more clinical coordination responsibilities, including procedural bookings and patient-assessment support.

The successful candidate will play a key role in managing patient interactions, supporting referral workflows, and ensuring accurate and timely booking of endoscopy procedures. This is a high-volume, patient-facing role requiring excellent communication, strong clinical judgment, and exceptional attention to detail.

The role is ideal for a registered nurse who is confident in patient communication, comfortable working independently, and eager to grow within a structured clinical administrative environment.

Schedule:

  • Mondays to Fridays, 9:00 am to 4:30 pm (Australian Western Time), with a 30-minute unpaid break (37.50 hours per week, 7.5 hours per day)

Responsibilities:

  • Patient Communication & Call Handling
    • Serve as the first point of contact for inbound patient calls
    • Answer and manage high-volume phone inquiries (variable daily flow)
    • Explain booking processes clearly and professionally to patients
    • Provide guidance and reassurance regarding procedure booking requirements
    • Ensure accurate messaging and communication with patients at all times
  • Referral & Booking Coordination
    • Process incoming referrals into internal systems
    • Input patient data into clinical software systems
    • Send patient intake forms via secure links and monitor completion
    • Review returned patient forms for completeness and accuracy
    • Schedule patient procedures in coordination systems once cleared
    • Manage bookings in both systems: Genie and Fydo
  • Clinical Screening & Escalation Support
    • Review patient medical histories for potential risks or red flags
    • Identify conditions requiring clinical review (e.g., cardiac issues, blood thinners, bleeding disorders)
    • Escalate cases to medical staff or doctors for approval where required
    • Communicate medication instructions and pre-procedure requirements to patients under clinical guidance
    • Ensure patient safety protocols are followed before booking confirmatio
  • Documentation & Administrative Support
    • Ensure hospital files and patient records are complete and accurate
    • Assist with scanning and verification of post-procedure documentation
    • Maintain accurate records in line with compliance and privacy requirements
    • Support general administrative workflows within the practice

Systems Used:

  • Genie (Doctor’s software system)
  • Fydo (Hospital system)
  • Microsoft Word and basic Microsoft Office tools
  • Phone system integrated into computer setup
  • Training will be provided for systems; prior experience is advantageous but not required.

Essential Pre-requisites:

  • Excellent communication and telephone skills
  • High proficiency in typing and Microsoft Word systems
  • Knowledge of the Australian healthcare system and health funds is a strong advantage; however, it is not a strict requirement, as the candidate can also be trained on this aspect.
  • Experience in procedural bookings
  • Access to reliable Wi-Fi, phone line, and PC setup
  • Quiet, uninterrupted workspace (constant phone activity expected)
  • Strong understanding of patient confidentiality and privacy regulations
  • Proven ability to work independently with reliability and accountability
  • Excellent attention to detail and accuracy
  • Registered Nurse qualification (mandatory)

Desirable Experience:

  • Prior endoscopy experience
  • Familiarity with Genie, Fydo, or similar patient management systems
  • Experience in hospital or specialist clinic environments
  • Exposure to referral processing and procedural scheduling workflows
