Role Overview
We are seeking a detail-oriented Admin Assistant to support lead management, scheduling coordination, CRM maintenance, and general administrative operations. This role is ideal for someone who is highly responsive, organised, and comfortable working in a fast-paced environment with evolving processes and systems.
Schedule:
40 hours per week
Monday to Friday, 8:00 AM – 5:00 PM Austin, TX time, with 1-hour unpaid break
Responsibilities
- Monitor and respond promptly to new leads via text and email to maintain strong speed-to-lead performance
- Manage scheduling, coordination, and day-to-day communication with clients and key contacts
- Maintain and update records in Jobber to ensure CRM accuracy and data cleanliness
- Monitor automated workflows and identify any gaps or missed follow-ups
- Handle general inbox management, email organisation, and communication support for the business owner
- Assist with administrative tasks as systems, processes, and SOPs continue to develop
- Maintain organised records and ensure timely follow-up on outstanding tasks
- Support operational efficiency by proactively identifying administrative improvements
Requirements
- Strong written and verbal English communication skills
- Experience using CRM platforms, preferably Jobber or similar field-service management systems
- Highly responsive with a proactive and solution-oriented approach
- Ability to work independently with minimal supervision
- Strong organisational skills and attention to detail
- Comfortable working in a fast-paced and evolving business environment
- Ability to manage multiple tasks and priorities effectively
- Willingness to work full-time during U.S. Central Time business hours
