Client Operations & Admin Coordinator

Job Overview:

We are seeking a Client Operations & Admin Coordinator to streamline client communications, manage task logging, and ensure deliverables are tracked effectively. The role is designed to remove the bottleneck from day-to-day client operations, ensuring smooth communication and project flow across the business.

Schedule:

  • Monday - Friday, 9:00 AM - 5:00 PM GMT/BST (40 hours a week)

Key Responsibilities

  • Manage and monitor the shared client inbox, ensuring all enquiries are responded to or assigned promptly.
  • Create, assign, and track tasks using ClickUp or a similar project management tool.
  • Follow up on client approvals, sign-offs, and outstanding action items.
  • Coordinate client communications, including status updates, meeting scheduling, and calendar invitations.
  • Support new client onboarding by gathering required information, assets, and credentials.
  • Distribute reports and deliverables to clients and follow up as needed.
  • Engage with dashboard users to ensure adoption and identify potential upgrade opportunities.
  • Perform basic Canva editing using existing templates.

Required Skills & Experience

  • Excellent written and verbal English communication skills, with a professional and client-facing approach.
  • Strong organizational skills and attention to detail.
  • Proven ability to manage multiple tasks and follow through to completion.
  • Experience using ClickUp or similar project management software.
  • Comfortable managing inboxes, coordinating tasks, and proactively following up with stakeholders.
  • Reliable, self-motivated, and able to work independently.

Preferred Qualifications

  • Experience using Canva.
  • Previous experience in professional services, legal, or consulting environments.
