Travel Administration Coordinator

Job Overview 
We are seeking a detail-oriented and organized Hotel Operations Coordinator to support hotel booking, invoicing, and administrative processes for touring and travel operations. This role involves coordinating with hotels, managing billing documentation, updating booking details, and ensuring accurate tracking of invoices and rooming lists. The ideal candidate is proactive, reliable, and comfortable working in a fast-paced environment during US business hours. 

Schedule: Work Schedule: Monday–Friday; 9:00 AM–6:00 PM / 10:00 AM–7:00 PM Eastern Time

Job Responsibilities

  • Track and reconcile hotel commission invoices and prepare final invoices
  • Maintain operational charts and update routing notes, reminders, and booking details
  • Assist with hotel billing paperwork and credit card authorization forms
  • Manage and update rooming lists and send them to hotels
  • Coordinate hotel bookings for bus drivers, including billing setup and booking updates
  • Research and gather hotel sales contact information and email addresses
  • Support the team with general administrative tasks and urgent requests when needed
  • Prepare weekly progress and output reports

Job Requirements

  1. Strong Excel proficiency — now required. The role lives in Excel for commission tracking, chart support, rooming list management, and bid comparison. Google Sheets familiarity is a plus but Excel is the working environment. This was previously buried; it needs to be top-line.
  2. Basic Sabre / GDS proficiency — now required (not "trainable from zero"). Both roles need someone who can pull bookings, look up flights, and navigate the GDS interface from day one. Not a power-user — but the basics must be in place. The 4–6 week training-from-zero pathway is no longer realistic given the operational distance from a remote contractor.
  3. Strong verbal English — now required (alongside written). Both roles involve heavy phone work calling US hotels (sometimes in regional or remote locations) for sales reps, billing contacts, and CCAuth follow-ups. Spoken proficiency needs to be at a level that lets US hotel staff understand and act on requests without friction.
  4. "Coral" platform name removed from the candidate-facing spec. Replaced with functional descriptors (hotel sourcing platform, option-chart platform, group RFP system). This avoids candidates conflating "Coral" with CorelDRAW (the design software) and falsely claiming platform experience.
  5. Comfortable working in a fast-paced entertainment and touring environment with changing priorities and tight deadlines.
  6. Thrives in a dynamic, high-energy industry and can effectively manage multiple tasks under pressure.
