Overview

Join a high-tempo team managing hotel accommodations and ground transportation for major touring Broadway productions and live events. This role handles a massive volume of 800 to 1,000 group bookings per year across hundreds of active tours maintained in the team's primary platform, Marcato. It is a thrilling opportunity for an organized, detail-oriented professional looking to thrive in the entertainment travel industry.

Schedule

• Monday–Friday; 9:00 AM–6:00 PM / 10:00 AM–7:00 PM Eastern Time

Responsibilities

• Enter group and hotel booking information into the system accurately and on time
• Review and verify hotel and venue distance details weekly
• Upload completed hotel charts and documents to Dropbox
• Import tour routing information into the system and check for accuracy
• Track and manage rooming lists for tours
• Prepare reminder emails and follow up on missing rooming lists or hotel confirmations
• Assist with preparing bid comparison reports and checking reports for accuracy
• Draft hotel contracts for client review
• Maintain organized records and support the operations team with administrative tasks
• Provide regular updates and coordinate with internal teams when needed

Requirements

• Basic experience with Sabre is preferred, or a willingness to learn
• Strong written English communication skills
• Detail-oriented and accurate when handling dates, bookings, and reports
• Comfortable working with repetitive and high-volume administrative tasks
• Organized and able to manage multiple tasks at the same time
• Willing to learn entertainment and touring industry terminology and processes
• Reliable, proactive, and interested in a long-term role
• Available to work US business hours (mainly EST, with occasional PST flexibility)
• Experience with travel, hotel bookings, or administrative support is an advantage
