Role Purpose
To keep the firm’s day-to-day operations running smoothly and accurately by combining operational coordination with hands-on administrative and finance support. The role is the operational anchor for a distributed team serving the UK and Spanish tax and accountancy clients — ensuring tasks are tracked, deadlines are met, and the professional team is well supported.
Schedule
- 11:00–19:00 UK time, Monday–Friday, (one unpaid hour for lunch). The role follows UK time year-round. Because Colombia does not observe daylight saving, the local start time is 06:00 COT during British Winter Time (GMT) and 05:00 COT during British Summer Time (BST). Candidates must be comfortable with a start time that shifts by one hour twice a year in line with UK clock changes.
Key Accountabilities
Operations Management
- Ensure day-to-day business processes run smoothly and meet organizational objectives.
- Identify inefficiencies in routine workflows and propose practical improvements to the line Manager.
Project & Task Coordination
- Execute daily administrative tasks and flag any bottlenecks to the manager
- Track team activity against agreed KPIs, report progress, and flag slippage before it affects delivery.
- Act as first-line owner of routine client and customer issues — resolve within remit and escalate genuinely complex or sensitive matters promptly.
Document & Data Management
- File correspondence, documents, and reports to a professional standard.
- Prepare meeting agendas, take minutes where required, and circulate follow-up actions.
- Maintain accurate, well-organized physical and digital filing systems in line with the firm’s confidentiality and data-protection requirements.
Financial & Accounting Administration (internal finance + team support)
- Process supplier and client invoices accurately and on schedule.
- Assist with basic bookkeeping and routine internal financial admin.
Project Assistance
- Compile internal reports and gather data to support ongoing projects.
- Provide general project support to the wider team as priorities shift.
Required Experience & Knowledge
- 1–2 years’ experience in a business administration role within a fast-paced, professional environment.
- Formal background or qualification in business administration.
- Working knowledge of accountancy principles (invoicing, basic bookkeeping)
- Proven track record of working effectively within a team.
Language Requirements
English - B2 minimum, C1 Level preferred
- Working language across the UK and Philippines team; client correspondence; first-
line escalation handling
Strong Spanish language proficiency
- To support communication with the Spain-based team and Spanish-speaking clients.
Technical Proficiency
- Microsoft 365: high competency in Outlook, Word, Excel, and Teams.
- CRM and/or accounting platforms

- Administrative and finance output (correspondence, filing, invoicing, reconciliations) is accurate, timely, and requires minimal rework.
- KPIs and task progress are reported reliably; risks are escalated before they become problems.
- Client and internal queries are handled professionally and within agreed response times.
- Confidentiality and data-protection standards are upheld at all times.
