Real Estate Executive Assistant

Job Overview

We are seeking a highly organized Real Estate Administrative Assistant (Zoho) to support the day-to-day operations of our growing real estate business. In this client-facing remote role, you will manage communications with buyers, lawyers, and key stakeholders while coordinating transactions from onboarding to closing. You will also maintain our Zoho CRM and help streamline workflows by implementing AI tools and automations. This full-time position is ideal for a proactive self-starter with a background in real estate administration who excels at managing deadlines independently.

Job Highlights

Schedule: Mon-Fri, 10 AM - 5 PM EST time (35 hours per week)

Work Arrangement: Work from home

Contract: Independent Contractor

Responsibilities

  • Screen and manage incoming calls from prospective buyers, qualifying leads and protecting the agent's time.
  • Prepare, send, and track offers, contracts, and onboarding documentation throughout the transaction process.
  • Coordinate transactions from onboarding to closing, ensuring deadlines, milestones, and communications are handled efficiently.
  • Maintain and update the Zoho CRM, including contact management, data entry, and pipeline tracking.
  • Research and implement AI tools and workflow automations to improve operational efficiency.
  • Provide proactive client support and follow-up communication to ensure an exceptional customer experience.
  • Liaise with lawyers, clients, and other stakeholders throughout the transaction lifecycle.

Requirements

  • Previous experience in real estate administration, transaction coordination, or virtual assistant roles within the real estate industry.
  • Experience working with CRM platforms, preferably Zoho.
  • Experience with Automation platforms and AI tools (Chat GPT, Claude, etc)
  • Experience in AI automation, particularly transcript automation from CRM systems or open-source platforms (highly preferred).
  • Excellent written and verbal English communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple transactions and deadlines simultaneously.
  • Self-motivated, resourceful, and capable of creating structure and processes with minimal supervision.
