Outbound Customer Retention Representative

Overview

We are seeking a proactive and highly professional Outbound Client Follow-Up Specialist to join our team. This role is responsible for maintaining relationships with existing and past clients through outbound calls, emails, and follow-up communications. The ideal candidate is an excellent communicator who is confident on the phone, possesses strong customer service skills, and can build rapport naturally.

Schedule

  •  Tuesday, Wednesday, Thursday between 7 AM and 7 PM central time.

Responsibilities

  • Follow up on outstanding proposals and quotations to encourage client decisions and conversions
  • Reconnect with previous clients to identify new business opportunities
  • Contact clients after completed and paid projects to gather feedback and request online reviews
  • Generate referral opportunities from satisfied customers
  • Build and maintain positive client relationships through consistent communication
  • Conduct outbound calls, emails, and text message follow-ups as required
  • Track follow-up activities and maintain accurate records in the CRM
  • Update client information and interaction notes in company systems
  • Escalate client concerns or opportunities to management when appropriate
  • Meet activity and follow-up targets established by management
  • Assist with customer retention initiatives and client engagement campaigns

Requirements

Must-Have Qualifications

  • Previous experience in outbound calling, customer service, appointment setting, sales support, customer retention, or client success
  • Excellent verbal and written English communication skills; ability to communicate clearly and be understood by clients
  • Strong phone presence and ability to build rapport quickly
  • Experience handling customer interactions professionally and confidently
  • Strong organizational and follow-up skills
  • Ability to work independently and manage multiple conversations simultaneously
  • Comfortable making a high volume of outbound calls
  • Experience using CRM systems and customer databases
  • Reliable internet connection and quiet work environment

Preferred Qualifications

  • Experience generating customer reviews and referral opportunities
  • Experience following up on sales proposals or quotations
  • Background in customer success, account management, or inside sales
  • Experience supporting home services, professional services, construction, or local service businesses
  • Familiarity with CRM platforms such as HubSpot, GoHighLevel, Salesforce, or similar tools
