Overview
We are seeking a highly organized and proactive Short-Term Rental Operations Assistant to support the day-to-day operations of a growing Airbnb and vacation rental management business. This role is ideal for an analytical, detail-oriented professional who can take independent ownership of property logistics, vendor coordination, and guest communication. Schedule:
Monday to Friday with flexible hours between 8:00 AM and 5:00 PM Central Time. Must be available for 2 to 3 hours during standard CDT business hours (ideally between 11:00 AM and 3:00 PM CDT) for meetings and communication. Occasional Saturday availability may be required if needed. Up to 25 hours per week.
Responsibilities
- Manage and support daily short-term rental operations
- Utilize HostAway and other property management platforms to oversee listings and reservations
- Coordinate cleaners, maintenance vendors, contractors, and service providers
- Monitor and manage property inventory and supply levels
- Handle supply purchasing and restocking as needed
- Assist with invoice management, payment tracking, and operational record keeping
- Support short-term rental tax filing and compliance-related administrative tasks
- Ensure listing information, photos, and property details are accurate and up to date across platforms
- Communicate professionally with guests regarding reservations, issues, inquiries, and stay-related concerns
- Proactively identify operational issues and recommend solutions before they become larger problems
- Maintain organized systems, processes, and documentation across the business
Requirements
- Extremely familiar with Airbnb operations and ideally experienced with HostAway and Pricelabs
- Able to coordinate cleaners, vendors, maintenance, scheduling, and inventory management
- Comfortable handling supply purchasing, invoice payments, and filing short-term rental taxes
- Highly detail-oriented and analytical with a very strong problem-solving mindset
- Someone proactive who takes initiative and does not require constant oversight or follow-up
- Personable and charismatic enough to communicate professionally with guests while understanding tone, colloquial communication, and when to be more formal
- Reliable, organized, and genuinely “Type A” in how they approach tasks and operations
- Previous experience supporting a vacation rental, Airbnb, or property management business
- Experience coordinating vendors, cleaners, maintenance teams, and operational logistics
- Familiarity with operational reporting, invoicing, and administrative support functions
- Availability to overlap with U.S. Central Time business hours for meetings and collaboration
