Operations Coordinator & Bookkeeper (SimPro)

Client Overview

A New Zealand-based service operations business providing installation, maintenance, and coordinated field services across residential and commercial clients. The company also supports government-backed energy efficiency programs and manages high-volume client service requests and emergency coordination.

Role Overview

We are seeking a highly organised Operations Coordinator & Bookkeeper (SimPro)  to manage day-to-day financial administration, client communication, and operational coordination. This role combines bookkeeping, customer service, scheduling, and support for field operations, requiring strong attention to detail and the ability to manage multiple workflows in a fast-paced environment.

Schedule: Monday to Friday, 8:00am – 4:00pm NZT (includes 30 minutes paid break)

Responsibilities

  • Manage accounts payable and accounts receivable processes
  • Handle a shared admin email inbox with high-volume client correspondence
  • Take incoming client phone calls and accurately gather job details and requirements
  • Create quotes and schedule appointments for field service teams
  • Perform general bookkeeping and accounting support tasks
  • Maintain day-to-day administrative operations and records
  • Coordinate with clients regarding government heat pump program enquiries
  • Support emergency services call centre operations as required
  • Assist directors with ad hoc administrative and operational tasks
  • Ensure all records are accurately updated across systems (jobs, invoices, schedules)

Requirements

  • Proven experience using SimPro
  • Strong proficiency in Xero
  • Confident using Google Workspace (Gmail, Google Drive, Docs, Sheets)
  • Background in bookkeeping, accounts, or administrative coordination
  • Strong phone manner and ability to handle inbound client calls professionally
