Schedule : Mon - Fri, 4 hours stretch each day from 9.30 am to 1.30pm EST
Responsibilities:
- Monitor and respond to tenant queries in real time through a tenant management portal
- Send timely reminders to tenants regarding insurance updates, filter changes, rent payments, and late rent notices
- Research and contact local contractors to obtain quotes for repair and maintenance work
- Track and follow up on ongoing property issues, ensuring nothing falls through the cracks
- Gather and organize information related to property incidents or maintenance requests for the property manager's review
- Serve as the primary communication conduit between tenants, contractors, and the property manager
Requirements:
- Previous experience in property management support, administrative assistance, or a related field
- Strong written communication skills with a professional and clear tone
- High level of attention to detail and ability to maintain confidentiality
- Ability to work independently and exercise sound judgment when prioritizing tasks
- Comfortable making occasional phone calls to contractors in Canada and the U.S.
- Strong organizational skills with the ability to manage multiple properties simultaneously

Scope:
- Support the management of approximately 12 properties across Canada and the U.S.
- Operate primarily through written communication via a tenant management portal
- Coordinate with local service providers for quotes, scheduling, and follow-ups on maintenance and repairs
- Maintain up-to-date records and checklists for each property
- Reduce the property manager's direct time involvement in day-to-day operational tasks
