Job Overview:
We are looking for a Property Management Operations & Lead Generator who will manage key administrative functions while driving business growth through proactive prospecting and lead generation. You will oversee the property management portfolio, handle landlord and tenant communications, and process trust account disbursements within PropertyMe, while spending the majority of your time sourcing and qualifying new opportunities through outbound calls. This remote role is ideal for a highly experienced real estate professional who is confident on the phone, commercially minded, and capable of working autonomously to convert opportunities into appointments for the director.
Client Overview:
The client is a growing real estate business focused on both property management and residential property sales. The company is committed to delivering exceptional service to landlords, tenants, and property owners while actively expanding its management portfolio and sales opportunities.
Schedule:
- Monday - Friday, 9:00 AM – 6:00 PM AEST [Australian Eastern Standard Time], (40 hours per week)
Responsibilities:
Property Management Administration
- Manage all property management administration activities through PropertyMe
- Maintain accurate tenant, landlord, and property records within the CRM
- Handle tenant and landlord communications professionally and efficiently
- Process end-of-month financial disbursements and generate ABA files for bank uploads
- Ensure all documentation, records, and compliance requirements are maintained accurately
- Support the smooth day-to-day operation of the property management portfolio
Client Communication & Support
- Handle inbound calls from tenants, landlords, prospective landlords, and property owners
- Respond to enquiries professionally and provide timely follow-up
- Coordinate communications between stakeholders and maintain detailed records of interactions
- Escalate complex matters to the director when required
Lead Generation & Business Development
- Conduct outbound prospecting to identify new property management opportunities
- Research active property listings and identify potential property owners for outreach
- Contact property owners to discuss property management and sales services
- Generate qualified appointments for the director through consistent prospecting activities
- Build and maintain a pipeline of prospective landlords and property sellers
- Develop and execute independent prospecting strategies to support business growth
CRM & Reporting
- Maintain accurate prospect, client, and communication records
- Track lead generation activities, appointments, and conversion outcomes
- Generate regular reports on prospecting performance and pipeline activity
- Ensure all administrative and lead generation tasks are completed accurately and on schedule
Requirements:
- Minimum 5 years of experience in property management administration within the real estate industry
- Demonstrated experience using PropertyMe or similar property management software
- Proven success in generating leads and prospecting independently
- Strong understanding of property management operations and real estate processes
- Excellent verbal communication skills and confidence in conducting outbound calls
- Ability to build rapport quickly with property owners and prospective clients
- High level of initiative and self-motivation
- Strong organizational skills and exceptional attention to detail
- Ability to work independently with minimal supervision
- Reliable internet connection and professional remote work environment
Preferred:
- Experience in both residential property management and property sales environments
- Previous success in generating landlord appointments or listing opportunities
- Familiarity with Australian real estate legislation and industry practices
- Experience handling trust accounting processes and financial disbursements
Scope & Engagement:
- Property management administration responsibilities are expected to occupy approximately two to three days per month
- Majority of working hours are dedicated to business development and lead generation activities
- Focus on generating both property management and property sales opportunities
