Service Admin Coordinator (Equipment Maintenance)

Job Overview

Our client is looking for a proactive and detail-oriented Service Admin Coordinator to support a growing equipment service and maintenance business. This is a brand-new workflow setup, requiring someone who can quickly adapt, understand operational processes, and take ownership of daily coordination tasks from day one.

The ideal candidate will have strong experience in service operations, scheduling, and administrative coordination within a mechanical, equipment service, or maintenance environment.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM AEST (40 work hours per week)

Responsibilities

Customer Support & Scheduling

  • Handle inbound customer calls in a professional manner
  • Book and schedule service jobs efficiently
  • Coordinate technician availability and job assignments
  • Ensure accurate scheduling and timely updates to clients

Logistics & Inventory Support

  • Assist in sourcing and coordinating spare parts for field technicians
  • Track inventory levels and support supply requests
  • Ensure timely availability of parts for scheduled service jobs

Financial & Administrative Support

  • Issue client invoices accurately and on time
  • Process supplier and vendor payments
  • Maintain accurate financial and job-related records

Operational Coordination

  • Support day-to-day service operations across multiple jobs
  • Ensure smooth communication between customers, technicians, and vendors
  • Assist in maintaining workflow efficiency and service delivery standards

Requirements

  • Strong experience in equipment service, mechanical, or maintenance industry (preferred)
  • Familiarity with service operations, scheduling, or dispatch environments
  • Experience with administrative and financial coordination tasks
  • Experience using field service management software (e.g., ServiceM8) and accounting platforms (e.g., Xero), or similar systems, is highly advantageous.
