Bookkeeping and Payroll Specialist

Job Overview

Our client is looking for an experienced Bookkeeping & Payroll Specialist to support multiple delivery service clients with bookkeeping, payroll preparation, financial reporting, and administrative finance tasks. This role is ideal for someone who has strong bookkeeping expertise, payroll support experience, and advanced spreadsheet skills.

The successful candidate will be highly organized, comfortable working with confidential financial information, and capable of managing multiple client accounts while meeting recurring deadlines. Prior experience supporting logistics, transportation, staffing, or hourly workforce businesses is highly advantageous.

Client Overview

Our client provides specialized back-office support services to delivery and logistics businesses across the United States. Their team helps clients streamline their financial operations through bookkeeping, payroll support, reporting, and administrative services. As they continue to grow, they are seeking a detail-oriented Bookkeeping & Payroll Specialist to support multiple client accounts and ensure the accuracy of financial and payroll processes.

Schedule

  • Monday - Friday, 9:00 AM - 5:00 PM Central Time (CT), with 30-minute paid break (40 work hours per week)

Responsibilities

Payroll Support

  • Prepare and review payroll data, including timecards, attendance, overtime, PTO, and other adjustments for accuracy and management approval
  • Track and update payroll changes such as deductions, reimbursements, and employee pay adjustments, ensuring records remain accurate and up to date
  • Support payroll reporting and new hire onboarding setup, including preparation of reports for client review
  • Investigate payroll discrepancies and maintain organized, accurate payroll records and supporting documentation for timely processing

Bookkeeping

  • Perform full-charge bookkeeping for multiple client accounts using QuickBooks Online, ensuring accurate and up-to-date financial records
  • Reconcile bank and credit card accounts, and track operating expenses, vendor payments, fuel, maintenance, and other transactions
  • Support accounts payable and receivable processes, including payroll-related journal entries and documentation
  • Assist with monthly close activities, account reconciliations, and maintenance of organized, audit-ready financial records

Reporting & Administrative Support

  • Prepare financial summaries, bookkeeping updates, and expense reports
  • Assist with monthly reporting requirements and client deliverables
  • Maintain accurate spreadsheets, financial trackers, and client records
  • Communicate professionally with managers and client stakeholders
  • Support ad hoc administrative and finance-related projects as needed
  • Follow strict confidentiality and data security procedures when handling financial and employee information

Requirements

  • Proven bookkeeping experience handling day-to-day financial operations, including full-charge bookkeeping and multi-client account management
  • Strong payroll support experience, including payroll preparation and administration using ADP (Automatic Data Processing) or similar payroll platforms
  • Advanced proficiency in QuickBooks Online and Microsoft Excel/Google Sheets for accurate financial tracking and reporting
  • Experience preparing monthly financial reports and summaries
  • Excellent attention to detail, accuracy, and ability to maintain audit-ready financial records
  • Strong organizational and time management skills with experience meeting recurring deadlines in fast-paced environments
  • Strong English communication skills with experience supporting U.S.-based teams; exposure to logistics, transportation, staffing, or workforce-related industries is a plus
  • Highly organized, detail-oriented, and process-driven; trustworthy with confidential data, proactive in identifying issues, and reliable in meeting deadlines and maintaining accurate records
