Job Overview
Our client is looking for a proactive, detailed, and highly organized Event Coordinator (Vendor & Venue Sourcing) to support event planning, coordination, and production activities across multiple major U.S. cities. In this role, you will bridge the gap between initial research and technical execution by managing vendor communications, sourcing venues, and maintaining critical production tracking documents. The ideal candidate is a self-motivated professional with exceptional administrative skills, strong research capabilities, and a solid understanding of U.S. geography to help bring complex events to life.
Schedule

Monday - Friday, Flexible hours within standard U.S. business hours (20 work hours per week)
Responsibilities
- Source vendors in various U.S. cities.
- Research and identify suitable event venues in various U.S. cities.
- Build and maintain event production documents, including production timelines, signage grids, contact sheets, and shipping grids.
- Order production supplies.
- Assist in preparing client presentations and reports.
- Collaborate with senior and middle management in event planning and execution.
- Support event preparation and coordination activities.
Requirements
- Proficient in Google Sheets, Docs, Slides, and Forms.
- Experienced with Slack and Outlook.
- Strong attention to detail and thorough research skills.
- Comfortable communicating with U.S.-based companies via email and phone.
- Strong written English communication skills for U.S.-based clients, including professional tone and business etiquette
- Good understanding of major U.S. cities and geography to support vendor sourcing.
