Project Administrative Coordinator
Role Overview:
We are seeking a highly organized and proactive Administrative Assistant to support the daily administrative and operational functions of the business. This role is ideal for someone who can efficiently manage multiple tasks, maintain organized systems, and provide reliable support to a busy property development and construction team.
The successful candidate will play an important role in helping streamline operations, coordinate administrative tasks, and support communication across projects and stakeholders.
Schedule:
- Monday to Friday l 8am - 12pm l 20 hrs per week - Brisbane Time
Key Responsibilities:
- Administrative & Operational Support
- Provide day-to-day administrative support to management and the wider team
- Manage calendars, appointments, meetings, and scheduling coordination
- Prepare and maintain reports, spreadsheets, project documents, and business records
- Organize and maintain digital filing systems and documentation
- Perform accurate data entry and maintain updated records across systems
- Communication & Coordination
- Respond to emails and business communications professionally and promptly
- Coordinate with suppliers, contractors, clients, and internal stakeholders as required
- Assist with follow-ups, task tracking, and project-related administrative coordination
- Support meeting preparation, note-taking, and action tracking
- Project & Business Support
- Assist with project administration and workflow coordination
- Support document preparation related to property development and construction projects
- Help maintain organized operational systems and improve administrative processes where possible
- Provide ad hoc administrative support as required by the business
Requirements:
- Proven experience in an Administrative Assistant, Project Administrator, or similar support role
- Strong organizational and multitasking abilities
- Excellent written and verbal English communication skills
- Close attention to detail and accuracy
- Ability to work independently and manage priorities effectively
- Proficiency in Microsoft Office and/or Google Workspace
- Reliable internet connection and professional remote work setup
Preferred (Nice to Have):
- Experience supporting businesses in the property development, construction, or trades industry
- Familiarity with project coordination or construction administration workflows
- Previous experience working remotely with Australian clients or teams
