Role Overview

We are seeking a detail-oriented Project Administrator to support telecommunications and infrastructure projects through document control, reporting, procurement administration, logistics coordination, and general project support. This role will prepare project documentation and deliverables for management review while ensuring project records remain accurate, organized, and up to date.

Schedule

  • Flexible 20hrs a week. But some availability once a week to have a catch up during Brisbane business hours is ideal

Responsibilities

  • Maintain project document control systems and filing structures
  • Manage and update project registers, trackers, and records
  • Collect and organize site documentation, reports, photos, and compliance records
  • Prepare draft progress claims, variation documentation, and supporting materials
  • Compile project completion and handover documentation
  • Assist with procurement administration, supplier coordination, and logistics tracking
  • Prepare draft purchase orders, invoices, and shipping documentation
  • Update project reports, dashboards, meeting minutes, and action registers
  • Monitor project deadlines and follow up on outstanding deliverables
  • Provide general administrative and project support to Project Managers

Requirements

  • Previous experience in project administration, project coordination, or similar roles
  • Strong document control and records management experience
  • Excellent organizational skills and attention to detail
  • Advanced proficiency in Microsoft Office, particularly Excel
  • Experience maintaining registers, trackers, and project documentation
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and work independently
  • Experience in telecommunications, construction, engineering, or infrastructure projects is highly regarded
