Position Overview
We are seeking an experienced and detail-oriented Bookkeeper to manage financial records, payroll processing, compliance, and day-to-day bookkeeping operations across multiple business entities. The successful candidate will play a critical role in bringing financial records up to date through a comprehensive bookkeeping cleanup project before transitioning into ongoing financial maintenance and reporting.
This position requires strong expertise in Canadian bookkeeping practices, payroll administration, Ontario employment regulations, and QuickBooks. The ideal candidate is highly organized, capable of managing multiple entities simultaneously, and comfortable working directly with business leadership.

Key Responsibilities
Financial Cleanup & Data Migration
- Perform 2–3 months of backdated bookkeeping cleanup covering the March through June period
- Review, organize, and reconcile historical financial records to ensure accuracy and completeness
- Migrate financial data and records from historical tracking systems and ADP into QuickBooks
- Identify discrepancies and implement corrective actions to establish accurate financial records
- Conduct account reviews and reconciliations to ensure books are current and audit-ready
Bookkeeping & Financial Management
- Manage daily bookkeeping activities across multiple business entities, including retail locations and expanding mobile operations
- Maintain accurate general ledger records and supporting documentation
- Reconcile bank accounts, credit card accounts, and financial transactions across multiple incorporations
- Monitor and maintain financial accuracy across all business units
- Prepare financial records for management review and reporting
Payroll Administration & Compliance
- Process payroll and maintain accurate employee payroll records
- Issue pay stubs and manage employee deductions
- Handle payroll remittances and statutory payments
- Ensure compliance with Ontario Ministry of Labour requirements and applicable Canadian payroll regulations
- Manage government remittances, deductions, and employer obligations
- Coordinate payroll-related activities using QuickBooks and payroll systems such as ADP
Accounts Receivable & Accounts Payable
- Manage Accounts Receivable (AR) processes, including invoicing and collections follow-up
- Process vendor invoices and maintain Accounts Payable (AP) records
- Monitor outstanding balances and maintain healthy cash flow practices
- Ensure timely payment processing and accurate recordkeeping
Tax & Regulatory Compliance
- Prepare and manage GST filings and related reporting requirements
- Maintain compliance with applicable Canadian financial regulations
- Ensure proper documentation and retention of financial records
- Support audit preparation and financial reviews as required
Business Growth Support
- Support financial operations as the business expands into additional locations
- Establish scalable bookkeeping processes and financial controls
- Assist leadership with financial oversight and operational reporting
- Adapt bookkeeping procedures to support future business growth
Required Qualifications
- Significant bookkeeping experience supporting Canadian businesses
- Strong knowledge of Ontario employment standards and payroll regulations
- Advanced proficiency in QuickBooks
- Experience working with payroll platforms such as ADP
- Demonstrated experience performing bookkeeping cleanup and historical financial reconciliations
- Proven ability to manage bookkeeping for multiple business entities simultaneously
- Strong understanding of Canadian payroll deductions, remittances, and employer obligations
- Experience handling Accounts Receivable, Accounts Payable, and GST filings
- Excellent reconciliation, auditing, and financial troubleshooting skills
- Strong English communication skills, both written and verbal
- Ability to work during Eastern Time (Toronto) business hours
Preferred Qualifications
- Experience supporting retail, food service, hospitality, or multi-location businesses
- Previous experience managing bookkeeping for seasonal operations
- Experience supporting growing businesses undergoing expansion
- Familiarity with financial process improvement and workflow optimization
- Ability to work independently while maintaining high levels of accuracy
