Executive Operations Coordinator (Construction)

Job Overview

Our client is looking for a foundational, highly impactful Executive Operations Coordinator (Construction) to serve as the primary operational and administrative support for the business owner. In this role, you will help transition the company from a heavily burdened sole-operator model to a streamlined, process-driven organization, paving the way for future scalability and the successful launch of upcoming major projects. You will act as an administrative partner by transforming email chaos into organized systems, documenting operational workflows, and maintaining strong, cross-functional project tracking.

Schedule

Monday - Friday, 8:00 AM - 5:00 PM AEST (40 work hours per week)

Responsibilities

  • Manage and prioritize the owner's email inbox, draft routine responses, and coordinate calendar appointments.
  • Assist with pre-estimating tasks, including gathering project information, researching supplier pricing, and chasing up RFQs/RFIs.
  • Organize and maintain project documentation, including archiving Bluebeam files and managing digital assets.
  • Schedule social media posts, curate project photos from the site, and assist with basic website updates to maintain a strong digital presence.
  • Document existing workflows and create comprehensive Standard Operating Procedures (SOPs) for all delegated tasks.
  • Assist in migrating files from Google Drive to OneDrive/SharePoint and support the future setup of a dedicated job management platform.

Requirements

  • Proven experience in administrative support, preferably within the construction, trades, or building industry.
  • Strong proficiency in Office 365 (Excel, Outlook) and Google Workspace (Google Drive).
  • Familiarity with, or a strong willingness to learn, construction software like Bluebeam and future Job Management Systems.
  • Experience with basic digital marketing tasks, including social media scheduling and content organization.
  • Exceptional organizational skills with a knack for process documentation and creating SOPs.
  • Ability to work independently in a remote environment, focusing on output and deliverables.
