Job Overview
Our client is seeking an organized and detail-oriented Administrative Bookkeeper to support day-to-day administrative and financial operations. In this role, you will build and organize the bookkeeping infrastructure for a newly restructured standalone entity, Washington Empire LLC, while serving as a primary administrative point of contact. This position requires balancing core financial record-keeping with personal and professional administrative support for the business owner and his wife.
Schedule
Monday - Friday, 1:00 PM - 5:00 PM CST (20 work hours per week)
Responsibilities
- Manage and track all company financial obligations including credit cards, auto payments, rent, and payroll using QuickBooks.
- Set up and maintain the QuickBooks bookkeeping system from scratch for a newly restructured entity.
- Oversee calendar management, meeting scheduling, and appointment coordination for the business owner and his wife.
- Handle all inbound and outbound email correspondence with real estate agents, lawyers, partners, and employees.
- Prepare presentations, documents, and other materials as requested by the business owner or his wife.
- Develop and maintain email templates and standardized communication workflows to streamline daily operations.
- Serve as the primary point of contact for day-to-day administrative and financial operations on behalf of the business owner, coordinating with both the owner and his wife on task priorities.
Requirements
- Proven experience with QuickBooks, including account setup and ongoing financial management.
- Strong organizational skills with the ability to manage multiple priorities across bookkeeping and administrative tasks simultaneously.
- Professional English written communication skills for professional correspondence with external stakeholders.
- High level of attention to detail, particularly when handling financial records and scheduling.
- Ability to work independently with minimal supervision while keeping the business owner informed.
