Overview
We are seeking a reliable Admin Assistant / Customer Service Representative to serve as the main point of contact for inbound client calls, scheduling, and administrative coordination for a growing service-based business. The role is critical in ensuring no leads are missed, appointments are properly managed, and operations run smoothly.
Schedule:
- Monday - Friday 9am - 6pm PST
Responsibilities
- Answer all inbound calls promptly and professionally to capture client inquiries and leads
- Convert inbound inquiries into booked appointments and confirmed jobs
- Manage and maintain calendars, scheduling, and job bookings
- Coordinate field team schedules and assign staff to job sites based on workload
- Handle email correspondence, file management, and general administrative support
- Follow up with past and existing clients to encourage repeat business and re-engagement
- Maintain accurate CRM records and ensure all client information is properly documented
- Manage all inbound calls and client scheduling
- Support calendar management and job coordination across field teams
- Assist with basic operational administration to free up the business owner for field work and growth
- Manage CRM updates and ensure accurate record-keeping
- Proactively support lead follow-ups and client re-engagement opportunities
Requirements
- Proven experience in customer service, reception, or administrative support (service-based industry preferred)
- Strong spoken English with a clear, neutral, and professional phone manner
- Excellent organizational and multitasking skills
- High attention to detail in scheduling, data entry, and client communication
- Ability to work independently with minimal supervision after onboarding
- Patient and professional demeanor, especially when dealing with elderly clients
