Real Estate Appointment Setter and Coordinator

Job Overview

We are seeking a highly organized and proactive Real Estate Appointment Setter and Coordinator to manage our inbound lead flow and coordinate our 90-Day Multifamily Sprint program. In this role, you will convert interested social media leads into booked calendar calls while ensuring our program participants feel fully supported. You will also handle essential administrative tasks, including sending reminders, uploading call replays, and updating participant trackers. If you thrive in a fast-paced environment and love keeping projects organized, this dual setting and coordination role is for you.

Schedule

Mon-Fri, 8 am - 5 pm EST with flexibility to extend outside standard business hours as needed (40 hours per week)

Responsibilities

Setter - Inbound DMs and Appointment Setting
● Monitor and respond to inbound DMs from Meta and other social channels during agreed coverage hours.
● Use our scripts to qualify prospects based on geography, capital, timeframe, and fit for the 90-Day Multifamily Sprint.
● Ask questions, listen, and move qualified leads to a booked call with the founder.
● Confirm bookings, send reminders, and follow up on no-shows or reschedules.
● Maintain a simple daily log of conversations, outcomes, and follow-ups.

Sprint Coordinator - Admin for 90-Day Multifamily Sprint
● Maintain the Sprint checklist and calendar for each cohort.
● Send weekly call reminders, Zoom links, and follow-up emails or posts with replays and action items.
● Upload call recordings, organize resources, and keep member files up to date.
● Track each participant’s deal progress in our shared tracker.
● Help keep our Skool group and email communication clean and organized by routing questions and flagging issues early.

Requirements

  • 2+ years of experience as a remote VA, coordinator, customer success, or similar role.
  • 1+ year experience in a sales support or setter-type role (DMs, chats, appointment setting, or inside sales).
  • Excellent written English; concise, clear, and professional (very important you can mimic the client's voice through direct messages).
  • Strong organizational skills and love of checklists. You naturally keep projects and people on track.
  • Comfortable using common online tools (Google Workspace/Drive, basic CRM, Zoom, project management tools).
  • Proficient with social media channels/tools (Instagram, Meta, Youtube, TikTok, Manychat)
  • Reliable internet and a quiet environment for calls.
  • Able to work full-time with at least 4 hours overlap to US Eastern time.
  • Comfortable with a conservative, trust-first brand voice. No hype, no hard sell.
