Job Overview
Our client, a psychological service practice, is seeking a proactive Healthcare Operations Assistant to act as an extension of the practice owner. This role combines executive support, project coordination, and recruitment administration in a fast-growing mental health organization with 100+ clinicians. The ideal candidate will become a trusted right-hand support partner to leadership, acting with urgency and ownership to keep operations moving forward.
Schedule

Monday - Friday, Flexible hours with 2-3 hours of overlap with CST (40 work hours per week)
Responsibilities
- Manage and prioritize inbox communications, draft responses, and coordinate calendars, meetings, and travel.
- Track executive action items to ensure consistent follow-through across leadership priorities.
- Coordinate operational projects, business initiatives, office openings, vendors, contractors, and service providers.
- Assist with website updates and various practice expansion-related projects while strictly tracking deadlines.
- Post job advertisements, screen applicants, coordinate interviews, and manage overall candidate communications.
- Prepare official offers and oversee the administrative onboarding and hiring pipeline workflows.
- Respond to internal staff queries and coordinate communication across various clinical and administrative departments.
Requirements
- 3+ years of Executive Assistant, Operations, or Project Coordination experience.
- Professional written and verbal English communication skills.
- Strong organizational and project management skills.
- Highly proactive, responsive, and detail-oriented.
- Comfortable working independently in a remote environment.
Nice to Have
- Experience with recruitment or talent coordination is advantageous.
- HIPAA knowledge or healthcare industry experience is a bonus.
