Schedule: Monday - Friday,9:30am-1:30pm- Pacific Time
Responsibilities
- Manage and coordinate calendars for multiple senior executives across Pacific Time zone
- Monitor, triage, and respond to emails on behalf of leadership to ensure timely communication
- Track and categorize company expenses using Ramp, including uploading receipts and ensuring accurate records
- Support e-commerce operations by uploading product assets to vendor platforms and monitoring order fulfillment workflows
- Create and maintain presentations and slideshows using Google Slides as needed
- Coordinate file sharing, shipment tracking, and general administrative tasks across multiple communication platforms
Requirements
- Proven experience as an executive assistant or in a similar administrative support role
- Familiarity with e-commerce platforms, particularly Shopify and print-on-demand fulfillment workflows
- Proficiency with AI tools such as Claude, Lovable, or similar platforms
- Strong working knowledge of Google Workspace (Calendar, Sheets, Slides, Drive)
- Excellent organizational skills with the ability to support multiple executives simultaneously
- Strong written and verbal communication skills with a high level of attention to detail
Scope
- Provide dedicated support to the Head of Merch Ops and the COO
- Operate during Pacific Time zone business hours
- Communicate across multiple platforms including Slack, WhatsApp, and WeChat
- Assist with vendor coordination and back-end e-commerce product management
- Handle light expense management and financial record-keeping via Ramp
- Graphic design experience is a nice-to-have but not required
