Job Overview
Our client in the power generating and staffing industry is seeking a highly organized and detail-oriented Human Resources & Office Administrative Assistant. In this role, you will support daily HR operations, manage onboarding, track employee training, and accurately process payroll using ADP. Additionally, you will oversee essential administrative and financial compliance, including handling transportation regulatory filings (DOT, IFTA, IRP) and coordinating records with the company accountant.
Job Highlights
Schedule: Mon-Fri,9:00 AM – 6:00 EST with 1 hour unpaid break (40 hours per week)

Responsibilities
Payroll & Timekeeping
- Time Verification: Collect and verify employee time records; monitor clock-in/out activity via Camelo, including geo-fencing attendance tracking.
- Processing: Ensure hours are accurate and process payroll using ADP on schedule.
- Record Keeping: Maintain meticulous payroll documentation and historical records.
Compliance & Transportation Administration
- Regulatory Oversight: Manage and maintain strict compliance for DOT, IFTA, 2290 filings, and IRP.
- Filings: Track deadlines/renewal dates and prepare and submit required reports and filings.
- Documentation: Maintain organized records of all submissions, confirmations, and compliance certificates.
Accounting & Insurance Support
- Financial Records: Collect and organize company receipts; upload financial documentation and coordinate directly with the company accountant.
- Insurance Tracking: Monitor insurance policy renewals and expiration dates, ensuring company coverage records are always current.
- Mileage Reporting: Track company mileage and fuel usage; prepare and submit required reports, including NCDOR reporting.
HR & Training Management
- Onboarding: Collect all new-hire documentation (I-9, W-2, NC-4); set up profiles in ADP and Camelo.
- KPA Training: Assign and monitor employee training sessions through the company platform; maintain accurate certification records.
- File Management: Create and maintain secure, updated employee files and provide general administrative support.
Requirements
- Professional Experience: Previous background in HR, payroll, or office administration.
- Systems Expertise: Experience with ADP is preferred; familiarity with Camelo or similar time-tracking software is a major advantage.
- Compliance Knowledge: Experience with compliance tracking and regulatory reporting (ideally in the transportation sector).
- Confidentiality: Demonstrated ability to handle sensitive employee and company information professionally.
- Soft Skills: High attention to detail, exceptional time management, and the ability to meet strict deadlines consistently.
