Executive Assistant

Overview

Step into a pivotal executive support role providing high-level administrative and operational coordination directly to the founder of a premier Digital Health advisory firm. This position is ideal for a highly organized, proactive professional looking to manage critical communications, scheduling, and document workflows within a sophisticated global industry.

Schedule

  • Days: Monday - Friday
  • Hours: 9am - 11am GMT or 10am - 12pm GMT (Aligned with client business hours)
  • Client Location / Time Zone: United Kingdom (UK time zone)

Responsibilities

  • Manage the founder’s inbox, highlighting priority items and ensuring completed tasks are properly filed
  • Organise and schedule meetings, coordinating with relevant parties and providing calendar materials
  • Keep SharePoint updated with contracts, NDAs, and other key documents
  • Keep finances on track by uploading receipts and invoices into Anna Money (training provided)
  • Provide daily updates to the founder and team via WhatsApp, e.g., status of pending responses or meetings
  • Strategically attach relevant documents to calendar entries to ensure instant access during meetings
  • Monitor communications for critical items, ensuring proper prioritisation and timely action
  • Maintain an organised email filing system by archiving completed correspondence
  • Execute established administrative processes with accuracy and efficiency
  • Communicate professionally with meeting requesters, clients, and business contacts

Requirements

  • Previous experience as an administrative assistant, executive assistant, or similar role
  • Strong organisational and multitasking skills
  • Excellent written and verbal communication in English
  • High attention to detail and follow-through
  • Comfortable managing emails, calendars, and document filing systems
  • Ability to work independently while providing regular updates to the founder
  • Experience with financial or accounting software is a plus; training on Anna Money will be provided
