Medical Billing & Records Assistant

Job Overview:

We are seeking a detail-oriented Administrative Assistant to provide secretarial and backend administrative support for a healthcare practice. This role will focus on document management, file organization, form completion, and occasional phone communication with insurance providers. The ideal candidate will help streamline administrative workflows so the practitioner can focus on patient care.

Client Overview:

The client operates a small physical therapy practice that serves approximately 30 patients per day. The practice requires administrative support to manage documentation, patient records, and communication with third-party payers.

Schedule:

  • Mondays to Fridays, 8:00 am to 1:00 pm (US Central Time, 20 hours per week)

Responsibilities:

  • Rename PDF files accurately and organize them into the correct folders within the document management system.
  • Complete and submit CMS 1500 forms for third-party payer reimbursement.
  • Manage patient documentation and clinical notes using the electronic medical record system.
  • Handle incoming phone calls from third-party payers requesting specific patient notes or documentation.
  • Retrieve and send requested patient notes via fax or electronic transmission promptly.
  • Perform general secretarial and administrative tasks to support daily practice operations.

Must-Have Requirements:

  • Minimum 2-5 years of experience in administrative or secretarial roles.
  • Proficiency with Microsoft applications including OneDrive for file management.
  • Excellent communication skills for phone interactions with insurance providers and external parties.
  • Strong attention to detail for accurate file naming, organization, and form completion.

Nice-to-Have Requirements:

  • Experience with electronic medical record platforms, particularly Jane App.
  • Prior experience working in healthcare, physical therapy, or medical office environments.
  • Familiarity with insurance billing processes and CMS 1500 forms.
