Job Overview
Our client is seeking a detail-oriented and proactive Real Estate Administrative Assistant to manage back-office operations, property listings, and tenant communications. In this part-time remote role, you will play a key part in maintaining property visibility across listing networks, processing documentation, and ensuring that all inbound rental leads are addressed promptly. This position is ideal for an administrative professional with real estate experience who can work independently to manage recurring weekly deadlines and coordinate fluidly with on-site marketing agents.

Monday - Friday, 20 work hours per week
Note: Highly flexible scheduling within the 9:00 AM – 6:00 PM CST window, with availability during business hours to respond to tenant inquiries and make phone calls as needed.
Responsibilities
- Listing Management: Input, structure, and manage active property listings within the MLS; schedule and upload professional property photos to multiple digital listing platforms.
- Lead Inquiries & Communication: Respond promptly to incoming tenant inquiries via email and phone, ensuring all active leads are addressed within the same business day.
- Property Reporting: Prepare, format, and distribute detailed weekly showing updates and comprehensive listing reports to property owners.
- Operational Coordination: Partner with the on-site marketing agent to align listing timelines, coordinate photography schedules, and execute broader marketing activities.
- Pipeline Preparation: Draft accurate MLS listings well ahead of scheduled publication dates to ensure target deadlines are met consistently.
- Administrative Support: Assist with general administrative duties, data entry, and transaction support tasks as required by the team.
Requirements
- Real Estate Footprint: Previous professional experience in real estate transactions, real estate administration, leasing support, or property management functions.
- Software Literacy: Direct experience using MLS systems and various online property listing platforms.
- Linguistic Standard: Excellent written and verbal English communication skills tailored for professional corporate reporting and client relationships.
- Phone Confidence: Highly comfortable making structured outbound phone calls to prospective tenant leads during U.S. business hours.
- Organizational Habits: Strong organizational skills with a demonstrated ability to manage recurring deadlines and track data for 15–20 properties simultaneously.
- Autonomy: Proactive mindset with the ability to work independently in a fully remote workspace while following established operational processes.
Qualifications
- Bilingual fluency in English and Spanish is preferred.
- Previous experience directly supporting a dedicated real estate marketing or leasing team.
- Familiarity navigating real estate CRM software or specialized property management databases.
- Active interest in operating within a fast-paced environment managing a rotating volume of approximately 15–20 property listings per month.
