Role Overview:
We are seeking a detail-oriented Order Management Specialist to support daily account operations and ensure customers receive fast, accurate, and professional service.
This role works closely with Account Managers by handling execution tasks, including quotes, orders, proofs, customer updates, and internal coordination.
The ideal candidate is highly organized, responsive, and capable of managing multiple requests without losing track of details.

The company manages a high volume of customized orders involving product selection, pricing, artwork coordination, production timelines, and customer communication.
Schedule:
- Mondays to Fridays, 9:00 am to 5:00 pm (US Eastern Time, 40 hours per week)
Scope:
This is a specialized, top-of-funnel outbound sales support role designed to maintain consistent appointment volume and pipeline expansion for your existing closing team.
Key Responsibilities:

Customer Communication & Account Support
- Respond to customer inquiries through phone, email, and messaging channels
- Provide fast, professional, and accurate customer updates
- Support Account Managers with day-to-day customer requests
- Maintain excellent communication throughout the order process
- Follow up proactively on pending requests and open conversations

Quoting, Orders & Production Coordination
- Prepare customer quotes accurately based on requirements
- Process orders, including:
- Product details
- Customization requirements
- Pricing information
- Timelines
- Coordinate artwork approvals and production proofs
- Track production progress and delivery timelines
- Communicate delays or updates proactively

CRM & Administrative Management
- Maintain accurate CRM records and customer notes
- Update order status and communication history
- Track open tasks and deadlines
- Coordinate between sales, design, sourcing, and production teams
- Ensure no customer request or follow-up is missed
Requirements:
- 2+ years of experience in:
- Customer support
- Account coordination
- Sales administration
- Customer success
- Excellent written and spoken English communication skills
- Comfortable communicating with customers by phone and email
- Strong organization and multitasking abilities
- Close attention to detail and accuracy
- Ability to manage multiple customer requests simultaneously
- Experience using CRM systems
- Professional and solution-focused approach

- Experience supporting U.S.-based customers
- B2B customer service experience
- Promotional products, apparel, printing, or manufacturing background
- Experience preparing quotes or managing production timelines
- Odoo CRM experience
