This role will serve as the central point of coordination for office activities, helping monitor project opportunities, track employee hours, manage communications, and support the bidding process. Our client is a growing commercial services company that manages multiple projects across North Carolina. Their team is focused on delivering high-quality work while maintaining efficient office operations, accurate project tracking, and strong communication with clients and stakeholders. As the business continues to expand, they are seeking a reliable Virtual Office Assistant to help ensure administrative processes run smoothly while field operations remain the primary focus.
Schedule: Monday - Friday, flexible within 9:00 AM - 5:00 PM EST (20 work hours per week)
Responsibilities
- Monitor the Industrial Project Services (IPS) commercial project platform daily to identify and flag new public project opportunities throughout North Carolina
- Record, update, and maintain accurate employee timekeeping records in Excel spreadsheets using information submitted via email and text message
- Respond to incoming emails professionally and promptly, ensuring timely acknowledgments and follow-ups
- Follow established daily checklists to ensure office systems, workflows, and processes are completed consistently
- Support the bidding process by tracking deadlines, organizing documentation, and ensuring required tasks are completed
- Maintain organized digital files and project records using Google Drive and Microsoft Office applications
- Assist with general administrative coordination to support daily business operations
- Track outstanding tasks and communicate important updates to the owner
- Help identify and prevent administrative gaps that could impact project execution or business operations
- Provide additional administrative support as required
Requirements
- Previous experience in an administrative assistant, virtual assistant, office coordinator, or similar support role
- Strong proficiency in Microsoft Office Suite, particularly Excel and Outlook
- Experience using Google Drive and cloud-based file management systems
- Ability to follow structured processes, checklists, and standard operating procedures
- Experience supporting construction, commercial services, trades, or project-based businesses is highly regarded
