Role Overview

We are seeking an experienced Studio Operations & Marketing Assistant to become a key support partner in managing the daily operations of a growing dance school.

This is not a basic administrative role — the ideal candidate will take ownership of processes, manage the customer journey, improve systems, and help create structure as the business continues to scale.

The successful candidate will be confident working independently, comfortable with technology, and able to support both operational administration and marketing activities.

Schedule:
Part-Time (20 hours per week)  - Aligned with UK business hours

Key Responsibilities

Customer Communication & Enrolment Management

  • Manage incoming customer enquiries from prospective students and families
  • Own the enquiry-to-enrolment journey from first contact through onboarding
  • Follow up with leads and maintain consistent communication
  • Support student onboarding processes and ensure families receive clear information
  • Provide warm, professional, and timely responses to customers
  • Help improve customer experience throughout the student journey

GoHighLevel (GHL) CRM & Systems Management

  • Manage pipelines, contacts, tasks, and communications inside GoHighLevel
  • Maintain accurate customer records and enquiry tracking
  • Support automation workflows and customer communication sequences
  • Assist with implementing and managing Dance Business Solutions systems
  • Identify opportunities to improve processes and reduce manual tasks
  • Maintain organized workflows as the business grows

Marketing & Social Media Support

  • Assist with marketing activities to support enrolments and brand growth
  • Schedule and organize social media content
  • Support content calendars and campaign planning
  • Prepare basic graphics, captions, and marketing materials when required
  • Maintain consistency across communication channels
  • Help promote events, showcases, examinations, and enrolment campaigns

Administration & Business Support

  • Manage recurring monthly administrative tasks
  • Support invoicing, subscriptions, and payment tracking processes
  • Maintain spreadsheets, reports, and business documentation
  • Organize digital files and operational information
  • Create and document SOPs and business processes
  • Track tasks and ensure projects continue moving forward

Requirements

  • Previous experience as a:
    • Virtual Assistant
    • Operations Assistant
    • Administrative Assistant
    • Studio Coordinator
    • Customer Support Specialist
  • Strong written and verbal English communication skills
  • Experience managing customer enquiries and follow-ups
  • Highly organized with excellent attention to detail
  • Ability to work independently and take ownership of tasks
  • Comfortable creating structure and improving processes
  • Experience using CRM systems and online business tools
  • Ability to manage multiple priorities without constant supervision

Highly Regarded Skills & Experience

  • Experience using GoHighLevel (GHL)
  • Experience supporting dance schools, education businesses, memberships, or service-based companies
  • Knowledge of customer pipelines and automation workflows
  • Social media scheduling experience
  • Canva or basic content creation skills
  • Experience documenting SOPs and improving operational systems
  • Familiarity with invoicing or subscription-based businesses
